Organisations

The Organisations Tab on the ‘Entities’ Form gives you access to all the Organisations in the system.  Simply click on the ‘Pull-Down List’ at the end of the control and start entering the Organisation’s name.  Alternatively, if you don’t know the Organisation’s name, you can use the ‘Find’ button to find the Organisation from any scrap of information you happen to know about them.

An Organisation’s record will display the:  
    • Organisation,
    • Departments and Subsidiaries, 
    • and Staff Tabs
The Organisation Tab enables you to define its:
    • Organisational Details,
    • Principal Relationships, and
    • main Contact Numbers

Because phone numbers in the ‘real-world’ are unique, GEM stores every phone number only once. 

So changing an Organisation’s phone number will change the phone number of the Organisation’s principal Business/Office Address.  This in turn will change the Phone Number of any other Organisation that share the same number and the work contact number of everyone that works there.  (Does not affect Direct Dial numbers.) 

Similarly changing the home phone number displayed will change the phone number associated with the CEO or Manager’s home address and therefore the home phone number of everyone at the same address.  (Does not affect Mobile numbers.)
 

Organisations’ Relationships

on the right-hand-side of the screen may include:
    • their Customers,
    • their Business Contacts,
    • their Contractors,
    • any clubs or associations it is a Member of,
    • their Shareholders,
    • their Suppliers
or indeed any type of relationship you like.

The Departments and Subsidiaries Tab shows all the contact information for the Departments and Subsidiaries of the current Organisation.

The ‘Tree-View’ Button on this Tab enables you to show its Organisational Structure graphically.

Whilst the Staff Tab displays the Work and Home Contact Numbers for all members of staff.

The information on these Tabs is drawn from the records for the associated Organisations and People.  So changing their details on these Tabs will change the data in the master records as well and vice-versa.
